Smart Senior Project System

The University Project Management System is a smart web-based platform developed to manage and streamline the complete graduation project workflow within the university environment. The system replaces traditional manual processes that relied heavily on emails, online forms, and fragmented communication, which often caused delays, poor tracking, and inefficient coordination between students, supervisors, and college supervisors.

The platform provides a centralized bilingual environment (Arabic and English) that supports the full graduation project lifecycle, starting from project proposal submission until final evaluation and project completion. It is designed around three main user roles — students, supervisors, and college supervisors — each provided with secure role-based access and specialized dashboards to improve project organization, communication, monitoring, and academic workflow management.

By centralizing all graduation project activities in one intelligent platform, the system eliminates communication gaps, ensures consistent tracking, and supports digital transformation in the university environment.

Universities traditionally manage graduation projects through a combination of emails, physical paperwork, and disconnected online forms. This fragmented approach leads to significant delays in proposal approvals, poor visibility into project status, inconsistent feedback delivery, and weak coordination between students, supervisors, and college administrators.

Students often have no way to track their proposal progress in real time, while supervisors struggle to manage large volumes of submissions without a centralized review system. College supervisors lack the tools needed to monitor project statistics, control submission windows, and enforce milestone deadlines across the entire department.

The University Project Management System directly addresses these challenges by providing a unified, role-based platform that automates and centralizes the entire graduation project workflow — from initial proposal submission through final evaluation and defense scheduling.

The objective of this project is to develop and deploy a smart, web-based graduation project management system that covers the complete project lifecycle and enhances efficiency, coordination, and transparency across all stakeholders.

This system covers the full graduation project lifecycle — proposal submission and approval, report submissions, milestone tracking, final submissions, evaluations, and defense scheduling. It supports three distinct user roles with dedicated dashboards and workflows. The system does not cover course registration, grading of coursework unrelated to the senior project, or integration with external learning management systems. Mobile application development and external academic database integrations are beyond the current scope due to time and resource constraints.
